Client hub
When to use this
Use the client hub when a client asks “where do I find my proposal?” or “what do you still need from me?”. Each event gets one link. The page behind it gathers everything your client needs for that event. The client hub is part of Studio.
This page also covers two things your clients see on every plan: Changes since you signed on a revised proposal, and the longer certificate page in signed PDFs.
The client hub, Changes since you signed and the longer certificate page are switched on for studios a few at a time. Until they are on for your studio, you do not see Copy hub link.
What your client sees
The hub opens on a phone or a computer, in your branding and on your own web address when you have one. At the top are your studio name, the client’s name, the event date and the venue. Under them:
- What we need from you. Forms to fill in (Start), invoices to pay (Pay now), and a proposal waiting for a signature (Review and sign). With nothing to do, it says “Nothing for now. We will let you know.”
- Your flowers. Every proposal version you sent, newest first, with where it stands, for example “Proposal v2 · accepted 3 Mar”. View opens it.
- Contract. The version the client signed, when and by whom, and Signed PDF to download it.
- Payments. Each scheduled payment, paid or due, with its amount and date, and Pay now for a payment that is due. If the client kept a card for the remaining payments, Your saved card shows here too, with the same choices as on the invoice page. See Client payments.
- Your florist. Your studio name and Email. The email goes to the event’s own conversation, so the reply lands in your Inbox on this event.
The hub links to the proposal, invoice and form pages your client already knows. It does not show the documents inside the hub. While online payments are switched off for your studio, the hub shows no invoice links.
Copy the hub link
- Open the event.
- Open the ⋯ menu and choose Copy hub link. You can also choose Copy hub link at the top of Up next in the event’s Client view.
- Paste the link in an email or a message to your client.
The first copy makes the event’s hub. Opening an event alone never makes one.
The hub link in emails
- Your saved emails. Add the Client hub link field, in the Links group of Add field. It fills in with the event’s hub link when you send. On Core it stays empty, so remove it before you send.
- The welcome email. In an automation, a step that sends the starter welcome email without the hub link shows “Add your client hub link to this welcome.” Choose Use the welcome with the hub link. The step then sends Welcome, with your client hub link, which BloomBoard adds to your saved emails if you do not have it yet. Save the automation to keep the change. BloomBoard never changes your own emails for you.
- BloomBoard’s own client emails. Once the event has a hub, the proposal and invoice emails, their reminders, receipts, form requests and saved-card emails end with one line: “Everything for your event is in one place”, with a link to the hub.
Make a new hub link
Make a new hub link when a link reached someone it should not have. Only owners and admins can do this.
- Open the event.
- Open the ⋯ menu and choose Regenerate hub link….
- Read what stops working, then choose Make a new link.
The new hub link is copied for you. Send it to your client.
What changes:
- The old hub link stops working. So does every proposal, invoice and form link on the event, including links in emails you already sent and the terms link and QR code printed on PDFs. Anyone who opens an old link sees “This page is not available.”
- Every document gets a new link. The hub and your next emails use the new links.
- Signed documents stay signed. Their PDFs do not change.
- Automation emails you approved that carry one of these links wait for you to approve them again.
- If a saved card has a heads-up out, a new heads-up with the new links goes to the client, and the three days before the charge start again.
- The event’s Client history shows Hub link regenerated.
Your client cannot open any link they already have after you make a new hub link. Send them the new hub link straight away.
After you leave Studio
The hub link shows “This page is not available.” Every proposal, invoice and form link keeps working. When you come back to Studio, the hub link works again.
Changes since you signed
When you send a revision of a proposal the client already signed, their page shows Changes since you signed above the proposal. It compares the new version with the last version they signed, so the list covers every change since then, even across drafts they never saw.
- It lists each line you added, removed or changed. A quantity or a price shows only where your proposal shows prices to the client.
- It shows the new total only when the client sees totals.
- It shows a new event date or venue.
- The client can hide and show the list.
The list is fixed when you send. Your own compare view in the proposal still reads What changed. This works on every plan, once it is switched on for your studio. It reaches studios a few at a time, like the hub.
The certificate page in signed PDFs
A proposal signed from now on ends with a longer certificate page. It lists:
- Parties. Your studio and who sent the proposal, and the client: their name, the email the proposal went to, and the name and email the signer typed.
- The document hash, which proves the signed document did not change.
- Signing record. When the proposal was sent, delivered, first opened, first viewed and signed, each with its time. Each line shows the IP address where one was recorded, and “Not recorded” where none was. The delivered line never has one, because the email service, not the client, reports delivery.
The page can run onto a second page. PDFs signed before this change keep their certificate as it was. This works on every plan.
