Your Inbox

When to use this

Use the Inbox to read what clients write back, answer them, and keep the list down to the conversations that still need you. Every proposal, invoice or brief you send starts a conversation here, and client replies land in it as well as in your own email.

The Inbox works the way a familiar email app does: folders on the left, a list of conversations, and one conversation open at a time.

The folders

  • Inbox holds every live conversation. The number next to it is how many have a client message you have not read.
  • Awaiting reply shows conversations where the last message is yours.
  • Archived holds conversations you have cleared. Nothing is deleted, and a new client message brings a conversation straight back to the Inbox.
  • Needs review holds mail BloomBoard could not attach to a conversation, for example a client writing from a new address. Attach it to the right conversation or dismiss it. Items here are kept for 30 days.

The Unread chip above the list narrows any folder to conversations with a client message you have not read yet.

Reading the list

Each row shows the client, the subject and the start of the last message, the event it belongs to, and the date. Unread rows are bold.

  • Hover a row for Archive and Mark as read or Mark as unread.
  • Tick rows to act on several at once. The bar at the top offers Archive, Mark as read and Mark as unread.
  • Search looks across every folder, so an archived conversation still turns up.
  • Long lists page in blocks of 50. The count at the top right shows where you are.

Archiving from anywhere shows an Undo link for a few seconds.

Prefer to read beside the list? The two small layout icons at the top right switch between the full list and a split view, with conversations on the left and the open one on the right. BloomBoard remembers your choice on that browser. On a phone the Inbox always uses the full list.

Reading a conversation

Click a row to open the conversation on its own. The bar at the top has Back, Archive, Mark as unread, and arrows to step to the previous or next conversation in the list you came from.

Older messages fold to one line. The last message, and any client messages you have not read, stay open. Click a folded line to open it, or use Expand all. Click the small “to” line under a sender’s name to see every address and the exact time.

Quoted text from earlier messages sits behind the three dots at the end of a message. Attachments appear as chips you can download. A file that BloomBoard blocked for safety says Blocked for safety on its chip, and you cannot download it. A file marked Unscanned was not checked for viruses. You can download it, but take care. A long email shows in full as you scroll.

Replying

Press Reply under the last message, or the reply arrow on any message. The reply box opens in place with the people who will receive it, a Cc option, simple formatting, and a paperclip for files. Remove a recipient for one reply by clicking the cross on their chip. Press Send, or use Cmd or Ctrl with Enter.

To put a picture in the message itself, copy it and paste it where you want it. A screenshot or a photo copied from a web page works. The picture shows in the message for your client, not as a separate file. Pictures count towards the same limits as files: 10 MB each and 25 MB per message.

If you leave a conversation with an unsent reply, the text is still there when you come back, until you close BloomBoard.

Your signature

Every email you write from BloomBoard ends with your signature. Set it on Settings, then Email, under Signature. Type it, or copy your signature from the email app you use today and paste it into the box. A pasted signature keeps its layout, colors, fonts and logo. Press Save signature.

The compose window shows the signature under your message before you send. Each person on your team has their own signature.

Starting a new email

Press Compose at the top of the folder column. A small window opens at the bottom right:

  1. In To, search for the client. Their contacts with an email address appear next to the client’s name, with the main contact already selected.
  2. Add a subject and your message. Add Cc addresses or files if you need them. Paste a picture into the message to show it in place.
  3. Press Send. A “Sent” note appears with a link to open the new conversation.

You can minimize the window and keep working, then bring it back from the title bar. Only one new email is open at a time. The bin at the bottom right throws the email away. If you have written something, BloomBoard asks first.

“New email” on an event’s Email tab and in a client’s Conversations tab opens the same window with the client already chosen.

On a phone or a narrow window

The folders become a strip under the Inbox title. Swipe the strip to see every folder. Compose becomes a floating button above the assistant button.

Each conversation shows the client and the date on the first line. The subject and the latest message are on the second line. Tap the circle at the start of a row to select it. The bar at the top then shows how many are selected, with buttons for Archive, Mark as read (an envelope with a tick) and Mark as unread (an open envelope).

A conversation opens full screen. The reply box grows as you type. To take someone off a reply, tap the cross at the end of their name.

The new email window fills the screen. On Studio, Saved emails sits under the subject.

In an event’s Email view, tap a conversation to open it full screen. The back arrow at the top returns you to the event.

What to check if something looks wrong

  • A conversation you expected in the Inbox may be in Archived. Search finds it, or open Archived and use Move to Inbox.
  • If a client’s reply is missing, look in Needs review. Attaching it moves the conversation back to the Inbox.
  • Sending controls are hidden when email sending is not switched on for your studio.

Ask the assistant

You can ask the assistant what a client said, which conversations wait on a reply, or to write an email or a reply. It shows the email on a card first; you can change the text, and it sends only when you select Send. Open a conversation and ask “what is this about?” or “reply to her and say the date is fine”: it reads the conversation you have open.

To send from your own Gmail or Microsoft 365 address, see Send client email from your own address.
