Send client email from your own address
When to use this
Use this page when you want the emails BloomBoard sends your clients, such as proposals, invoices, briefs and your replies in the Inbox, to come from your own email address, or when clients ask why they see a BloomBoard address.
What your clients see
- Without a connected mailbox, email goes out through BloomBoard. With custom branding on, it arrives from your studio’s name, but the address still ends in bloomboard.io. Replies come to your Inbox and are also forwarded to your business email.
- With a connected mailbox, email goes out from your own Gmail or Microsoft 365 address, and your client’s replies land in that mailbox and in your Inbox. This covers the email you send yourself: proposals, invoices, briefs, and the emails you write or reply to in the Inbox.
- Emails BloomBoard sends on its own still go out through BloomBoard, even with a connected mailbox. These are your automatic emails and reminders, the copy of a finished brief, and card payment notices.
What you need first
- The mailbox option on for your studio. If Settings → Email shows no Gmail or Microsoft 365 card, it is not on for your studio yet, and your email still works through BloomBoard.
- The sign-in for the mailbox you want to use.
Step-by-step walkthrough
Connect your mailbox
- Open Settings → Email.
- Under Sending identity, find Gmail or Microsoft 365 and select Connect.
- Sign in to that mailbox and allow BloomBoard to send and read your email.
- Back in BloomBoard, the card shows your address and what the connection can do, for example sending + reading.
The mailbox belongs to you, not to the whole studio. Each teammate who wants their own address connects their own.
Choose which emails start conversations
With reading on, the switch Start conversations from emails you send to clients adds a new email you send a client from your own mailbox to your Inbox as a conversation.
Add your signature
Under Signature, paste the signature from Gmail, Outlook or a signature maker. Its layout, colors and logo are kept. It is added under every email you write from BloomBoard.
Add your booking link
Under Booking link, paste the link where clients book a call with you. The Booking link field in your saved emails uses it. This section shows when saved emails are on for your studio.
If something goes wrong
- “Your Gmail connection needs attention.” (or Microsoft 365) The connection stopped, for example after a password change. Select Reconnect and sign in again.
- “That sign-in used a different mailbox.” You signed in to another address. Choose Replace mailbox to switch to it.
- To change or stop using the mailbox, choose Replace mailbox or Disconnect. After you disconnect, email goes out through BloomBoard again.
