Set up online payments

When to use this

Use this guide once, before you send your first invoice, and again whenever your bank details or card provider change. Everything lives on one page: Business → Client payments (under Getting paid).

What you need first

  • Your business country saved under Business → Business details. It decides which card provider you can connect: Yoco in South Africa, Stripe everywhere else. Without a country, the page asks for one and offers no provider. For Stripe, this country also becomes the country of your Stripe account, and Stripe does not let it change afterwards, so check it before you start.
  • For Stripe, have these ready before you click Set up payments:
    • an email address and a mobile number for the Stripe account (Stripe sends a code to each)
    • your legal name, date of birth, and home address, as they appear on official documents
    • a live website or social page that shows your flowers; Stripe does not accept placeholder or under-construction sites
    • the sort code and account number (or your country’s equivalent) of the bank account that should receive payouts
  • For Yoco: a Yoco account, and its secret key from the Yoco Portal under Settings, then API keys.
  • Owner or admin rights on the account.

Step-by-step walkthrough

Connect your card provider

Open Accept online payments. The card shows the provider for your country and a Beta badge while online payments are new.

Stripe. Choose Set up payments. You are taken to Stripe’s setup pages; the next step walks through them one by one. If the card instead says “Online card payments for your region are on the way”, BloomBoard has not switched Stripe on for your region yet; bank transfer works in the meantime and the button appears when Stripe is ready.

Yoco. Paste your secret key, add the business name on your Yoco account if you like, and choose Save and connect. The key is checked with Yoco, stored encrypted, and never shown again; the connected card shows only its last four characters. If the key stops working later, the card asks for a new one.

Either way, once the card reads Active, every payable invoice page offers Pay online. BloomBoard adds no fee; payouts and the provider’s processing fee are managed in your Stripe dashboard or Yoco app, linked from the card.

Work through Stripe’s screens (Stripe only)

Stripe asks for everything on a handful of pages and saves as you go. Each page has a Continue button. The whole thing takes about ten minutes if you have the details from What you need first to hand.

  1. Email. Enter the email address you want on the Stripe account and the code Stripe sends to it. Already have a Stripe account? Sign in with that email instead. Stripe asks for a mobile number and texts a code to it on this page or the personal details page.
  2. Business type. The location is already filled in from your BloomBoard country and cannot be changed here. Pick your business type. Most florists who have not registered a company are Individual / Sole Trader.
  3. Personal details. Your legal first and last name, date of birth, and home address. Stripe checks these against public records, so use the details on your official documents, not a trading name.
  4. Business details. VAT number is optional. Under Industry, there is no “Florist” entry: open Retail and choose Other merchandise. Enter your website or social page, then two or three sentences on what you sell, how clients find you, and that they pay invoices online through BloomBoard.
  5. Bank details. Choose the currency and country of your bank account and enter its details. Then pick a payout schedule. Stripe may preselect Manual, which leaves your money sitting in Stripe until you move it yourself. Choose Automatic unless you want to trigger every payout by hand. You can change this later in your Stripe dashboard.
  6. Tax calculation. This is an optional Stripe add-on and BloomBoard does not use it. Choose Not right now.
  7. Review and submit. Check each section, use Edit to fix anything, then choose Agree and submit. Stripe may ask for an identity document at this point or in the days that follow.

When Stripe has what it needs it sends you back to BloomBoard, which checks your setup and shows Connected to Stripe with an Active badge. If the card still shows an older state, reload the page.

If you left part way through, the card says so and Finish setting up with Stripe picks up where you stopped. If Stripe needs more information later, the card lists what is outstanding and offers Complete setup, which opens the exact Stripe page that needs attention.

Decide about the card processing fee

Open Card processing fee if you want the client to cover the card cost. Switch on Add a card processing fee to online card payments, enter a percentage between 0.1% and 10%, and choose Save fee settings.

Two things to know before you turn it on:

  • The fee applies to invoices you send after switching it on, and the rate freezes onto each invoice at send. Changing the percentage later only affects later invoices.
  • Card fees are restricted or not allowed in some countries and regions, and some card networks cap them. Check the rules where you trade first.

Bank transfer payments never include the fee.

Enter your bank transfer details

Open Bank transfer details, switch on Offer bank transfer to clients, and fill in at least the bank, account holder, and account number. Branch code, SWIFT / BIC, and routing number are there for clients paying from elsewhere. Choose Save details.

The Payment reference prefix goes in front of the invoice number on the reference your clients see, for example FLOR-INV-001; leave it blank and BloomBoard uses BB. Use the notes box for anything clients should know, such as how long transfers take to clear.

While the switch is on but the three required fields are empty, the page warns you and clients do not see the panel yet.

Confirm transfers as they arrive

When a client clicks I’ve made this transfer on their payment page, you get a notification and an email, and the transfer shows in the invoice’s payments panel, on Today and in the Documents list, with the amount and the reference to look for. Check your bank, then choose It’s in my bank to record the payment against the invoice, or Not received to close the claim without recording money. Confirming records only what is still owed, so a transfer that arrived after another payment never overpays the invoice. The client gets an email receipt when they have an email address.

What happens next

Send an invoice and open its payment link yourself to see what the client sees; see Client payments. Online payments record themselves on the invoice, marked Paid online, and confirmed transfers appear as bank transfer payments.

To take a deposit the moment a client signs, switch on Collect on acceptance on the first milestone of your payment schedule, either as the account default under Business → Payment schedule or on the proposal itself. It only acts on an event with no live invoice (voided or deleted invoices do not count); if you have already raised one, review and send the deposit yourself. See Bill and get paid on an event.

Disconnecting Stripe or removing your Yoco key stops new online payments; the Pay online button disappears and invoices fall back to bank transfer. A client who already has a checkout open may still finish paying it. With Stripe that payment still lands on the invoice. With Yoco it does not reach BloomBoard once the key is removed, so check your Yoco app before reconnecting and contact support if a payment is missing from an invoice. Your provider account itself is not affected, and you can reconnect any time.
