Export your data
When to use this
Your data belongs to you. Use the export when you want a complete copy of everything in your workspace — for your own backup, for your accountant, or because you’re moving to another tool. You can export anytime, as often as you need, without asking support.
What you need first
- An owner or admin role on the account. Staff members see the page but can’t run an export.
- A few minutes. Most exports are ready quickly; very image-heavy accounts take longer. You don’t need to stay on the page.
What’s inside the export
One ZIP file containing:
- Spreadsheets (CSV) — clients, events, invoices, payments, item
library, suppliers, venues, purchase orders, team, and briefs. Money
columns use normal amounts (for example
2875.00) with the currency on each row. - Documents (PDF) — your sent and signed proposals, terms & conditions, and invoices.
- Images & files — everything you’ve uploaded, plus a
media_index.csvthat maps each file to what it was attached to. - JSON — a complete machine-readable copy of your records, useful if you’re importing into another system.
A README.txt inside the ZIP explains the layout. Bloomboard’s own stock
and sample images are not included, and neither are files you’ve moved to
the Trash.
Step-by-step walkthrough
- Open Settings → Your data.
- Select Export my data.
- Watch the progress card if you like — or leave. The export keeps running, and you’ll get an email when it’s ready. If you come back to the page mid-run, the progress card picks up where it left off.
- When it’s done, select Download. The card shows the file name, size, and how long the download stays available.
What happens next
- The download link stays available for 7 days, then the file is removed automatically. The export itself never changes your data.
- The “ready” email points you back to Settings — it never contains a download link directly, so a forwarded email can’t leak your data.
- Recent exports are listed under Previous exports. Within the 7-day window you can re-download them; after that they show as expired and you can simply run a fresh export.
- Exports are limited to a few per day. If you hit the limit, wait and try again tomorrow — the file you already have covers everything up to the moment it was generated.
If some items couldn’t be exported, the card says so and the download
still works — check manifest.json inside the ZIP to see what was
skipped, and contact support if anything important is missing.
