What the assistant can do

When to use this

Use this page to see what you can ask the BloomBoard Assistant to do for you. Changes your client never sees happen at once and have Undo. Anything your client receives, and anything about money, waits for you on a card.

Events and the board

  • Add an enquiry with no date yet (Date TBD), with where they found you and whether you have replied. It is added as New lead adds one, so your enquiry automations start.
  • Move an event to a stage, mark it lost with a reason, reopen it, mark a lead replied, set its lead source or tag it (owners and admins, with Stages on).
  • Archive a lead, a completed event or a canceled event. Every member can ask for this.
  • Show, accept or decline the enquiry forms waiting for review on the Events board, after you confirm on a card.
  • Change an event’s type, its client before the proposal is sent, its delivery, setup and on-the-day details, or duplicate it.
  • Say who changed what on an event and when, for example “who moved this wedding to booked?”
  • Make an export pack, such as a production pack, and tell you when it is ready to download from Export pack on the event page, under Recent exports. It never sends a pack to anyone.

Proposals

  • Start a proposal for an event, send it by email (with a planner copied) or by link, and give you its signing link when you ask.
  • Show a proposal’s PDF in the chat (the draft, the sent copy or the signed copy), with View and Download. In the phone app, tap View PDF to open it or Share PDF to save or send it.
  • Say who opened or signed a proposal, whether an email arrived, what is stopping a send, and what changed between two versions.
  • Bring back an expired proposal by moving its signing deadline, after you confirm on a card.
  • Add the changes held at the price your client saw to the new version of a revision, and take them back out with Undo.
  • On a draft, with Undo: write the vision title, paragraph and color palette, or draft them from the moodboard photos; attach your terms and write special conditions; change the event’s tax, discount, markups and planner commission (it tells you the new total); change the deposit and the payment dates; write the welcome message and the cover words, set the footer text, show or hide sections, and copy those words from another proposal; apply one of your design presets.
  • Record that your client accepted outside BloomBoard, for example by phone (owners and admins, after a card).
  • Choose your default terms (owners and admins), rename or archive terms, and turn your existing terms and conditions into a draft in Terms Studio.

Arrangements, services and costs

  • Add arrangements, services, costs and hire items to a draft proposal, with the prices you give.
  • Copy one recipe into many arrangements, or swap one flower for another across an event, as one change with one Undo.
  • List your arrangement templates, add one to an event with a quantity and a group, save an arrangement as a template, and remove a template.
  • Mark arrangements, hire items and costs as production-only, or move them onto the proposal.
  • Save a service or cost line to your saved services or saved costs, add saved lines to a proposal, or copy every service and operational cost from another event in one step.
  • Change the order of service lines, cost lines and the arrangements in a group.

Money

  • Create an invoice, change a draft invoice (due date, discount, notes, terms, lines and the tax on each line) or delete it, and invoice one payment of the signed schedule.
  • Record a payment, or remove one recorded by mistake, after a card.
  • Confirm or reject a bank transfer your client reported. When you confirm it, your client gets the receipt.
  • Release or cancel a planned card charge, or remove a client’s saved card when they ask (owners and admins).
  • Tell you what a client has paid, still owes and when the next payment is due, and give you an invoice’s payment link while client payments are on.
  • Say what an event really cost against the plan, record what a supplier really charged or an extra cost, read a supplier bill you attach (it uses one Smart close-out credit, after a card), and close or reopen the books.
  • Owners and admins can ask it to change tax rates, the default tax for each kind of line, and the markups new events copy. It shows every change on a card first, and Undo puts the old figures back. Payment setup and your currency stay on their pages.

Recording a payment sends no receipt. To send one, open the invoice and use Send receipt on the payment in its payments panel.

Library and suppliers

  • Look up and update your library items: costs (one at a time or many at once by a percentage), bunch size, usual supplier, description and star, and duplicate an item.
  • Take a cost per stem or per bunch, and work out the bunch price.
  • Find, add and change suppliers and their contacts.
  • Read an event’s supplier orders (what each supplier has, in bunches or boxes, the delivery date, swaps and what reconciling recorded), put items on a supplier’s order, change a quantity, take an item off, set the delivery date and record a swap, each with Undo (more than five items at once wait on a card). Sending an order sheet stays in the app.
  • List your past price list imports, show what changed and what did not match, put back an applied import’s costs after a card, and say how many imports are left this month.
  • Say what an item used to cost and who changed it.
  • Make pictures for library items that have none, after a card that says how many of the month’s images it uses.

Clients, email and briefs

  • Read your client emails in the Inbox, and write a new email or a reply to a client. It shows you the email on a card first, with everyone it goes to, and sends it only when you select Send. On Studio, it can start from one of your saved emails.
  • Send a brief or form to a client (the card shows the whole email), make a form link you share yourself, give the client more time, withdraw a form or reopen it, and tell you what a returned brief changes and what waits for your review.
  • Find, add and update planners and coordinators, with their phone and email.
  • Tell you what is new in your notifications, and mark them all read with Undo.

Week-of, tasks and your team

  • Read the Week-of run sheet (“What time is venue access on Saturday?”), add a pasted schedule as run sheet rows, add a day, change or remove a row and who is on it, add a checklist or items, copy a checklist from another event, and tick checklist items. Every change has Undo.
  • Read, add and tick event tasks, add a reminder for you (“remind me on Friday to order the peonies”), and add a saved task list (owners and admins). It does not tick a task an automation made: tick that one in the event’s Tasks panel.
  • Say who is working on a day or an event, put people from your Team page on an event or take them off, and send the crew their Week-of links after a card that names everyone. It never shows pay rates.
  • Invite a member (it checks your free seats first), resend or cancel an invitation, and change a role, each after a card. It cannot change or remove the owner: ownership cannot be transferred, so contact BloomBoard support.
  • Show the automations on an event and what goes out next, pause, resume, stop or start one, and list the steps waiting for your OK on Today, then send (on a card), skip or snooze them. Changes to automations are for owners and admins, on the Studio plan. On Core, the steps of your three built-in automations (Payment reminders, Proposal reminders and Brief nudges) that wait for your OK show too, and owners and admins can send, skip or snooze them. On Core, change when a step goes in Business → Automations.
  • Explain your automations in the editor’s words, build new ones (switched off, with Undo), change their steps, and switch them on or off, on Studio. Switching one on, or changing one that runs, asks first on a card. See Automations.
  • Make and change saved emails and forms, and add tags, stages and lost reasons. Renaming, removing and archiving stay in their pages.

Notes, photos and venues

  • Notes: “add a note to the Hart wedding: the bride is allergic to lilies” adds a note in your name to the event, with Undo on the receipt. The note shows in the Notepad (the pencil tab on the right edge of the screen, or ⌘J, Ctrl+J on Windows) while the event is open, and on the Notes page. You can also pin a note to a client, an arrangement, a venue or a supplier, keep a general note, ask “what did we note about the bride’s bouquet?”, and change or remove a note you wrote. Notes stay inside your studio.
  • Photos: send photos or a PDF in the chat and ask the assistant to add them to an event. It adds them to the event’s photos and files, and can put the photos on the moodboard. It can also import a public Pinterest board into an event. Ask “put the peony arch photo on the moodboard” or “take it off the moodboard”. It finds photos in your media library too, even ones on no event, and can describe an arrangement from its photo. A client’s photos on an enquiry join your library, and its searches, when you accept the enquiry; photos on a brief you sent join when the client sends it back.
  • Venues: ask it to add a venue’s address. It searches the map near your studio and saves the address and map location, so the weather check works. It can also add the venue’s coordinator as a contact.

Your settings and your studio

  • Read your settings: tax, markups, currency, client payments, your client brief or forms, proposal defaults, your enquiry link with its placement links and website code, your domain and its DNS records (owners and admins), business details, branding (with whether Remove BloomBoard branding is on and which address new links use), invoice numbering and default deposit, the default payment schedule, email and connected apps, stages and lead sources, and what is left on Getting started.
  • Read your price guide, with its link and the code for your website, and change it as Business → Price guide does (owners and admins): the prices of each piece for each occasion, pieces of your own, the words, the fee line, the tax sentence, the group headings, On your enquiry form, and turning it on or off. While the guide is off, a change saves at once with Undo. While it is on, clients see each change straight away, so a card lists every change first. See Show a price guide on your website.
  • Turn Remove BloomBoard branding on or off (owners and admins, Studio plan). It changes what every client sees and which address new links use, so a card says what changes first, and Undo puts it back. See Custom branding.
  • Explain an event’s tax, for example “why is tax 8.3% on this event?”. The answer shows the tax on each kind of line, for example 15% on the flowers and none on the labor.
  • Save a preference just for you (“call me Mo”). It never saves markups, tax or deposits as preferences: it reads your settings.
  • Find a change it made in the last 7 days and undo it after you confirm.
  • Send a message to BloomBoard support for you, after you confirm on a card. See Get help from BloomBoard.

What it cannot do yet

Some work stays in the app, and the assistant tells you where to do it:

  • Design work: building or changing your own pages, layouts, fonts and colors, and saving a design preset.
  • Publishing terms in Terms Studio.
  • Sending an order sheet to a supplier.
  • Payment setup: connecting a card provider, bank details, the card fee, and your currency.
  • Importing a client list or your records from another system.
  • Changing your plan.
  • Counting stock: BloomBoard does not record how many of an item you own.
